Qualification questions

  • What service, location, staff member, or appointment type does the caller need?
  • Is the caller new or existing?
  • What dates or time windows work?
  • What required details must be collected before booking?
  • Should the agent book directly, request approval, or create a callback?
  • Does the call include urgency, accessibility, language, or special instructions?

Routing rules

  • Book only inside approved service, duration, location, and calendar rules.
  • Create a callback when the requested service or time is outside configured availability.
  • Transfer urgent, medical, legal, complaint, or payment-dispute calls to a human.
  • Confirm the booking back to the caller only after the calendar or destination system accepts it.

  • Appointment type and requested time

  • Booking result, calendar event, or callback reason
  • Notes the team should read before the appointment

Launch checks

  • Map appointment types, durations, buffer rules, and blocked times.
  • Test duplicate bookings, full calendars, reschedules, cancellations, and failed writes.
  • Write exact confirmation language for successful and pending appointments.
  • Decide who reviews bookings that were requested but not confirmed.
