Sales intake template

Lead qualification script

A qualification path for callers who need a quote, consultation, showing, demo, repair estimate, or first sales conversation.

Example dialogue

A safe starting point for the first call flow.

Treat this as a planning artifact, not a recording or customer transcript. The production version should use your approved greeting, disclosure, service rules, and escalation contacts.

Havio agent

I can help capture the details so the right person can follow up. What are you looking for?

Caller

I want a quote for a renovation project.

Havio agent

I will ask a few quick questions: location, timeline, budget range, and what outcome you need.

Caller

It is in Brussels, ideally next month, and I have a rough budget.

Havio agent

Thanks. I will send this as a qualified lead with the timeline and callback preference.

Qualification questions

  • What does the caller want to achieve?
  • Where is the work, property, account, or service need located?
  • What is the timeline or urgency?
  • What budget, size, or scope signal is useful without creating friction?
  • Who is the decision maker and what is the preferred callback time?
  • Which CRM pipeline, owner, tag, or priority should receive this lead?

Routing rules

  • Route high-value or urgent leads to immediate transfer when the owner is available.
  • Create a CRM lead or deal when required fields are complete.
  • Create a callback task when the caller cannot answer required questions.
  • Avoid giving legal, financial, medical, warranty, or binding pricing advice.

Output fields

  • Lead source and caller intent
  • Qualification answers and missing fields
  • Priority score or route reason
  • CRM owner, pipeline, stage, and callback task
  • Transcript summary and follow-up preference

Launch checks

  • Define the minimum qualification fields for a useful callback.
  • Decide which answers qualify a lead for transfer versus async follow-up.
  • Test partial answers, evasive callers, existing customers, spam, and duplicate records.
  • Review whether the CRM output is useful enough for sales to act without re-asking everything.

Launch readiness

Turn this template into a checklist before callers hear it.

Check the items your team has approved. The list becomes a practical demo brief for routing, knowledge, transfers, and post-call review.

Guardrails

The template is only launch-ready after the boundaries are approved.

Approve what the agent can say about prices, availability, timing, policy, and service scope.

Confirm when the agent must transfer, create a callback, or stop because the request is sensitive.

Test failed calendar writes, unreachable transfer contacts, missing caller data, and unclear intent.

Review transcripts during soft launch before expanding traffic or adding more call types.
