Recovery template

Missed-call callback script

A recovery workflow for callers who reached voicemail, abandoned a call, or called during a busy period.

Example dialogue

A safe starting point for the first call flow.

Treat this as a planning artifact, not a recording or customer transcript. The production version should use your approved greeting, disclosure, service rules, and escalation contacts.

Havio agent

Sorry we missed you. I can capture what you need and make sure the team has the right next step.

Caller

I was calling to ask if you have availability this week.

Havio agent

I can help with that. What service do you need, and what time window works for you?

Caller

Friday afternoon, if possible.

Havio agent

I will send this as a callback request with your preferred window and service need.

Qualification questions

  • Why was the caller trying to reach the team?
  • Does the caller need booking, pricing, status, support, or a human callback?
  • What is the best callback number and time window?
  • Is the issue urgent or revenue-sensitive?
  • Can the agent resolve the request now, or should it create a callback?

Routing rules

  • Resolve routine FAQ or booking requests when configured.
  • Create a priority callback when the caller is high intent or the request cannot be completed.
  • Alert the team immediately for urgent, angry, safety, or high-value missed calls.
  • Do not imply that a human will call instantly unless the response target is configured.

Output fields

  • Missed-call reason
  • Caller intent and urgency
  • Preferred callback window
  • Resolved, booked, transferred, or callback-created status
  • Owner and next action

Launch checks

  • Define which missed calls should be answered by AI versus turned into callbacks.
  • Connect the callback destination: CRM task, calendar hold, ticket, SMS, email, Slack, or Teams.
  • Test no-answer, duplicate call, wrong number, and after-hours paths.
  • Measure recovered bookings or callbacks, not just answered-call count.

Launch readiness

Turn this template into a checklist before callers hear it.

Check the items your team has approved. The list becomes a practical demo brief for routing, knowledge, transfers, and post-call review.

Guardrails

The template is only launch-ready after the boundaries are approved.

Approve what the agent can say about prices, availability, timing, policy, and service scope.

Confirm when the agent must transfer, create a callback, or stop because the request is sensitive.

Test failed calendar writes, unreachable transfer contacts, missing caller data, and unclear intent.

Review transcripts during soft launch before expanding traffic or adding more call types.
